Most services are covered, but we do recommend contacting your insurance company to verify your plan benefits. You can also ask:

• Does your health plan require an assigned PCP (for example, an HMO)? If yes, verify that a Coastal Kids provider is your assigned PCP. This usually will populate on your Member ID Card.

• Are there any limits on preventive care? How does it differ from coverage for sick visits?

• Do I have a co-pay or deductible?

• Do I have additional responsibility for services provided after hours?

Our offices are open for well and sick care from 8 a.m. to 5 p.m., Monday through Friday. Select offices are also open on Saturday for weekend care. All office hours are listed on our Locations page.

Yes, as a patient of Coastal Kids, your child can be seen at any of our 20+ locations. For instance, if you are traveling and your child gets sick, you can schedule an appointment at the closest Coastal Kids location — even if it’s not the one you usually visit. We do recommend picking one location as your home office where your primary provider is based.

It’s always best to schedule an appointment ahead of time or call ahead for a same-day sick visit. Most of our offices reserve same-day appointment slots for children who need immediate care. We may be able to offer an earlier appointment at a nearby Coastal Kids location, so please contact us before heading over.

Existing patients can schedule a well or sick visit online minus the exceptions below*. Please note that you must type in your child’s name exactly as it appears in our records to be able to schedule an appointment. You cannot use a nickname or an alternate name.

*Types of visits that cannot be scheduled online:

• Any visits for an infant less than 2 months old

• First evaluation for ADD or ADHD

• Pre-operative clearance

• Injuries, such as broken bones or sprains

• Respiratory distress

• Shot-only or lab-only visits

You can schedule well visits up to one year ahead of time.

We understand that families are busy. At Coastal Kids, we strive to get you in and out of the office as quickly as we can while still providing top-quality pediatric care. If we have a lot of sick visits or emergencies that day, you may wait longer than usual. If you are not committed to any particular provider, you can request a “first available” appointment. The best times to schedule your visit are early in the morning or immediately after lunch.

Yes. We provide appointment reminders to help patients confirm, cancel, or reschedule appointments when necessary. Patients who miss a scheduled appointment may be charged a $55 missed appointment fee. Missed appointments without prior notice may be reported to the patient's health insurance plan for care coordination purposes. Repeated missed appointments may result in dismissal from the practice.

Yes, we see all sick children on the same day if possible. Every attempt will be made to schedule an appointment with your primary provider or another provider at your home office. If there is no availability, we may offer an appointment at another Coastal Kids location or a virtual telehealth visit. Please do not walk in without an appointment.

If your child is experiencing a life-threatening emergency, dial 911. Otherwise, if your child is sick, call your primary office for after-hours care. An agent will ask questions to determine the urgency of the problem, then connect you with an appropriate resource. Many issues require only home care or a telehealth visit, followed by an in-person visit with your primary office when necessary.

Phone coverage is provided in the evening for all Coastal Kids locations and 24/7 for select locations. If your child has a medical problem that requires urgent treatment, you will be routed to a pediatric nurse who is specially trained to answer your questions and provide assistance by phone.

Gather the following details (consider writing them down so you remember everything!):

• Your child’s age

• Your primary concerns

• Your child’s alertness (if you are concerned about lack of responsiveness, call 911 for emergency care)

• How long the symptoms have been going on and if they are getting worse

• Anything you have already done to treat your child’s condition

• Your child’s temperature

• Your child’s intake of fluids and output of urine and stool

Have your phone number ready so you can be called back if necessary.

Yes, all Coastal Kids offices have separate sick and well waiting areas. Please follow the posted signs and sit in the appropriate section.

Our providers are on staff at most of Southern California’s major hospitals. You can view the list on the Our Hospital Affiliations in our Knowledge Center.

If your child is admitted to a hospital where our providers have been granted privileges, one of our affiliated hospitalists will visit your child and keep your pediatrician informed on their condition. A post-hospital visit with your pediatrician is usually scheduled after your child is discharged. Please remember to bring your discharge summary to this follow-up visit.

Unless your child is sick, children are generally seen once a year for their annual checkup after they turn 3. An easy way to remember this is to schedule your child’s visit around their birthday.

• During your child’s first year of life, well visits are scheduled 3 days after birth, followed by 2 weeks, 1 month, 2 months, 4 months, 6 months, 9 months, and 12 months.

• During your child’s second year, well visits are scheduled at 15 months, 18 months, and 24 months.

• During your child’s third year, well visits are scheduled at 30 months and 36 months.

For continuity of care, Coastal Kids encourages you to schedule all well visits with your primary provider. If your child comes for a sick visit, we cannot guarantee that your primary provider will be available that day.

What is a well-child visit?

A well-child visit (also called a preventive or annual physical exam) is a routine appointment focused on your child’s overall health and development. It typically includes a review of your child’s medical, family, and social history; age-appropriate screenings and immunizations; developmental assessments; physical examination; and preventive health counseling.

A Combined Care visit happens when your child’s clinician addresses and completes more than one type of care during the same appointment. This may include completing a well-child visit during a sick visit, if your child is due, or addressing additional medical concerns during a scheduled well-child visit. Combined Care visits allow families to take care of everything in one visit rather than scheduling a return appointment.

Well-child visits are considered preventive care and are typically covered by insurance at no cost to you. However, when additional concerns or conditions are evaluated and managed during the same visit, insurance plans may apply additional copays, deductibles, or coinsurance based on the patient’s specific benefits. This billing reflects the additional time, medical decision-making, and complexity involved in addressing concerns beyond the preventive exam.

Preventive services typically covered as part of a well-child visit include: a conversation about your child’s medical history (including social and family history), height and weight screening, age-appropriate immunizations (based on your plan’s coverage), developmental and behavioral screenings, routine physical examination, and preventive health counseling such as nutrition and safety guidance.

Additional billing may apply when your child’s clinician evaluates or manages concerns beyond the preventive exam, such as new symptoms (fever, cough, rash, ear pain), chronic or ongoing conditions (asthma, allergies, ADHD), medication concerns or prescription refills, behavioral or mental health evaluations, and certain specialized screenings (autism evaluations, adolescent depression screenings, and similar) that fall outside your plan’s preventive coverage.

Most insurance plans cover the preventive portion of a well-child visit at no cost. However, coverage for additional services to address conditions or concerns varies by plan. We recommend contacting your insurance provider directly to understand your specific benefits, including any copays, deductibles, or coinsurance that may apply to non-preventive services.

Absolutely. If you prefer to keep your visit focused on only what your child was initially scheduled for, you can let your child’s clinician know. Any additional care can be scheduled as a separate return appointment. However, many families find it more convenient to address everything in one visit rather than making an additional trip to the office. Your clinician will always prioritize your child’s health and safety, so if a concern requires immediate attention, they will discuss this with you.

Our team can help explain the services billed, assist with insurance questions, and work with you on any concerns. You can also contact your insurance provider directly for details on your specific plan’s coverage.

Sometimes additional services that were already documented and provided during your child’s visit are identified through a post-visit review and billed accordingly.

As documentation is finalized and reviewed, claims may be updated to ensure services provided during the visit are accurately reflected and submitted to the patient’s insurance plan. If you have questions about a specific charge, please contact our billing team by calling 949-599-2434.

If your child has not been seen for the condition you want a referral for, you must schedule an appointment at the Coastal Kids office of your choice. If you need a referral as a follow-up visit for a condition your child has already been seen for, visit the patient portal to make your request. The office will contact you when your referral is completed, usually within 5-7 business days.

Contact your Coastal Kids office and let them know what medication needs to be refilled and the phone number for your pharmacy.

Coastal Kids parents and requesters must use VitalChart’s Online Request Portal to submit a request for medical records. Patients and requesters usually receive records within a 24 to 48-hour timeframe after submission. VitalChart provides bilingual customer service for patients and requesters who need assistance using the request portal, checking the status of the records, and more. Contact the VitalChart customer service line at 972-399-0914 or pediatricassociatesCA@vital-chart.com.

Paper requests can still be made in the office by downloading our Medical Records Request Form. All offices not currently utilizing VitalChart will continue their usual process.

Please contact your Coastal Kids office to make your request. Your form will be completed within 3-5 business days.

Contact the physician’s office you are transferring from and ask for your child’s records to be released to the Coastal Kids office you are moving to.

You can schedule and manage appointments, access your child’s medical records (including visit summaries, lab results, vaccines and immunizations, referrals, and medications), pay your bill, and more — all online.

You will receive an email from Coastal Kids with a username and password that gives you access to the portal with any web browser or the smartphone app. (If you don’t see the email, please check your spam folder.) You can customize your password after your initial login.

Check your inbox for a confirmation email. (If you don’t see the email, please check your spam folder.) In the email, click on “Set up portal account” and follow the steps.

Your practice code is included in the welcome e-mail for your family’s account. You’ll find it at the bottom of the e-mail.

Yes, all information stored on the patient portal is encrypted and secure. You’re protected not only by a username and password/PIN number of your choice but also by industry-standard SSL encryption.

Go to the patient portal, click on the “Trouble logging in?” link, and follow the prompts.

To see all patients under the same account, all patients must be listed under the same guarantor. To request this change, please email portal.west@pediatricassociates.com.

No, both the portal and the healow™ app are free so you always have easy access to your child’s medical records. Staying informed helps everyone make better healthcare decisions.

1. In the “Appointments” section, click “New Appointment.”

2. Select the visit reason and your preferred location.

3. You will see a list of providers working in your selected location, along with the next available appointment.

4. Select the date and time you prefer and add your appointment details.

5. A 4-digit verification code will be sent to the phone number listed on your account.

6. Enter the code, then click “Verify and Book.”

7. You will see your appointment details in the “Dashboard” section of the portal.

In the ‘’Medical Records” section, click ‘’Lab Diagnostic Report’’ to view the results.

Click on the “Medical Records” section and then select “Immunization History.” You will have the option to print your immunization records and other medical records in this section.

In the “Messages” section, click “Refill Requests.” You will see a list of current medications. Select the medication you need and then click “Refill Request.” If no refills are available, we recommend scheduling an appointment in the “Appointments” section.

A proxy account allows a designated individual to access and manage another person's health information. This account is typically used by parents to access their child(ren)'s records.

In adherence with the Cures Act, parents/legal guardians will receive login credentials that will allow them to access multiple children’s information using one single login.

Please note: patients are eligible to have access to their own portal account after age 12, depending on state regulation.
